This manual is published in terms of Section 51 of the Promotion of Access to Information Act, No. 2 of 2000 (PAIA), as amended by the Protection of Personal Information Act, No. 4 of 2013 (POPIA). It explains the records held by Supplyd Pty Ltd and how to request access to them.

3. Guide to PAIA

The Information Regulator of South Africa has published a guide on how to use PAIA in terms of Section 10 of the Act. The guide is available on the Information Regulator's website at https://inforegulator.org.za.

4. Records Available in Terms of Other Legislation

Supplyd may hold records that are available in accordance with the following legislation:

  • Companies Act, No. 71 of 2008
  • Consumer Protection Act, No. 68 of 2008
  • Electronic Communications and Transactions Act, No. 25 of 2002
  • Protection of Personal Information Act, No. 4 of 2013
  • Tax Administration Act, No. 28 of 2011 (SARS records)
  • Value-Added Tax Act, No. 89 of 1991 (if applicable)
  • Labour Relations Act, No. 66 of 1995 and related employment legislation (if applicable)

5. Categories of Records Held

  • Company records: founding documents, registration certificates, board and statutory records.
  • Financial records: accounting records, invoices, payment records, tax returns, bank statements.
  • Customer records: order history, delivery details, account information, correspondence.
  • Supplier & partner records: supplier agreements, product data, delivery documentation.
  • Marketing records: contact lists, communication preferences, campaign data.
  • Personnel records: (should Supplyd employ staff) employment contracts, payroll, leave and disciplinary records.
  • Information technology records: system logs, website data, security records.

6. Procedure for Requesting Access

Requests for access to records must:

  • Be made on the prescribed form (Form C for private bodies, available from the Information Regulator);
  • Be addressed to the Information Officer at [email protected];
  • Provide sufficient details to identify the record requested and the person making the request;
  • Indicate the form of access required (inspection, copy, etc.);
  • Specify the rights the requester seeks to exercise or protect and why the record is required.

Requests are processed within 30 days of receipt. A request fee may be payable in accordance with the regulations prescribed under PAIA. We will notify you of any applicable fees before processing your request.

7. Remedies Available

If you are dissatisfied with a decision regarding a request for access, you may:

  • Apply to a court for relief in terms of Section 78 of PAIA;
  • Lodge a complaint with the Information Regulator of South Africa.

8. Availability of the Manual

This manual is available free of charge at our principal place of business in Randburg, Gauteng and on this website. Any changes to this manual will be reflected on this page.

9. Processing of Personal Information (POPIA)

Supplyd processes personal information of customers, suppliers and visitors to provide and improve its services. The purposes of processing include order fulfilment, customer support, marketing (with consent), and legal and tax compliance. Personal information is not sold to third parties.
